A guide to collecting a rental car at the airport

Review your booking details in advance

Before arrival, check the confirmation for the pickup time and location, reservation number, and contact phone. If a delay is possible, notify the rental company and ask how late pickup is handled when a flight is delayed. Check the booking terms for driver documents and accepted payment methods as well.

Inspect the vehicle with the attendant

Before taking the keys, inspect the body, windows, tyres, and interior in good light. Photograph any existing scratches, dents, or missing equipment on your phone. Ask the attendant to record the observations on the handover form. This gives both sides the same written record of the car’s starting condition.

Record fuel and mileage

At pickup, note the fuel level, odometer reading, and any dashboard warnings. Read the agreement for the fuel return rule, daily mileage allowance, and any charge for extra distance. Terms vary between providers, so rely on the confirmation and contract instead of assuming the same policy applies everywhere.

Learn the controls and emergency contact

Check the headlights, air conditioning, wipers, and mirrors, and confirm the correct fuel type for the vehicle. Save the roadside assistance and accident contact numbers. If the car is unfamiliar, adjust your seat and mirrors and learn the main controls while parked before joining traffic.

Confirm the return time and location

Agree in advance on the return address, opening hours, late-return contact method, and key handover. When you return the car, photograph the fuel level and mileage again and keep a receipt or handover confirmation. Check the contract for the final charge and deposit procedure.

Keep useful details in a short written checklist; it makes comparison easier and helps you return to questions that are still unresolved later.
